Onboarding Guide

Our desire to make sure the onboarding experience of a new staff member is as positive and helpful as possible. Many departments have a role in a successful onboarding experience including HR, IT, Facilities and others but you, as hiring manager, probably have the greatest influence in helping them feel welcomed and wanted. Please reach out to HR if you need help with any of these things!

After the Offer Letter is Signed

  • Fill out the Staff Needs eForm. Fill this eForm out as soon as the offer letter is signed (at least 2 weeks before the start date), so that the appropriate staff will be alerted to begin preparing for the new employee.
    • Make sure to request laptop and software needs on the Staff Needs eForm.
    • Reach out to helpdesk to confirm which applications the new employee will need access to so that they can be prepared with usernames and passwords.
  • Fill out the Key & Fob request eForm.
  • Fill out the Credit Card request eForm, if needed.

Think & Prepare for the New Staff Member

  • Please communicate with the new staff member to bring their I-9 documents on their first day. They can bring anything on this list. They will need them when they meet with Cheryl on their first day.
  • Where will they work? Please ensure the new staff member's desk is set up with a clean work area and a comfortable chair. Adding welcome notes, signs, or treats would help create a friendly and welcoming environment.
  • Establish a time for the new staff member to arrive and personally be there to greet them.
  • Set up a 1st day lunch plan for the new staff member so they don't have to eat alone on their first day. Please keep in mind the riding/eating with the opposite sex policy. This lunch can be a small group from your team and can be expensed with your department's Care & Celebration account.
  • Choose a "buddy" for them and prepare the "buddy" to be a good resource for them.
  • Read through "Day 1" agenda and plan for these items.
  • Contact IT and make sure their email address is set up and go ahead and set up one-on-one meetings/trainings for them over their first couple of weeks.

Day 1

  • Introduce them to your staff and other staff that it would be good for them to meet.
  • Review the Strategic Plan with them and discuss Perimeter's Vision, Mission and Values.
  • Review and provide a copy of your department's ministry plan.
  • Remind them that they will receive an email from Cheryl Flanagan from HR regarding Ministry Safe Training. Explain that this is our child protection program and, it is important that each new staff member complete the Ministry Safe steps in their first 3 days on staff.
  • Review important scheduled events and forward relevant meeting requests to them including:
    • Staff Prayer
    • Staff Development Day
    • Dept Meetings
    • Your one-on-one meetings with them
    • Any upcoming department events or key projects
    • Any other relevant department information
  • Introduce them to their "buddy" who will instruct them on the copiers, postage meter (if applicable), workroom and any other things that may be helpful for them to know.
  • Notify them of the time you will introduce them at Staff Prayer.
  • Tour of the building - to see where things are and introductions to other staff members.
  • These are the suggested meetings to set up, depending on their needs and position:
    • Laptop and user names: Leo Kim
    • Photo for name badge: Katie Jean-Rejouis
    • Fob, Key, and name badge: Brian Reese
    • Credit card and Concur: Ashley Blain
    • Intacct: Melissa Hayes
  • Read through the New Employee Onboarding Guide and be prepared to walk through it with the new employee. Be ready to go through the discussion questions during your long meeting.
  • In the Onboarding Guide, add the following information:
    • Staff Buddy info
    • First week goals
    • 3 month goals
    • Future trainings for the new employee
    • One-on-one meetings with other staff members
