Groups

Summary

Groups are a collection of people that are involved in ministry in some way. That could be a discipleship group or volunteers on Sunday.

Remember

You do not have to create new groups every year. The same group can be used year over year with just the participants being updated.


Group Record

At the top left corner of the Groups page you will see:

  • Profile Image: Most Group records will not have images attached to them, but images can be attached in the Files folder found in the right side navigation bar.
  • Group Name: The name of the Group.
  • Group ID: Unique database identifier for this Group.
  • Record Facts: These little pills are under the display name and gives an overview of some major data points for the group.

Top Navigation Bar
Below the row of tabs is the top navigation bar found on all pages in Ministry Platform. Toggle the sections below for more details on how to use these:

Toolbar

Edit
- Allows you to edit the fields on this record

Message
- Opens the new message tool.
Secure
- Allows you to secure a record to a user or user group. Use with extreme caution.
Attach
- Attaches files to the record. This is how you add an image to a record.
Notify
- Allows you to create or modify a notifciation email for the selected record.
Insight
- Allows you to choose if record insites are showing or not.

- The tools that are visible here are dependant on user rights and what page you are currently on.

- The reports that are visible here are dependant on user rights and what page you are currently on..

Right Navigation Bar
To the right of page you will see the right navigation bar that is also found on all pages in Ministry Platform. Toggle the sections below for more details on how to use these:

Toolbar
Tasks
This section will show you any tasks assigned to the user that is associated with the contact record you are currently on.

Files
In this section you will see all of the pictures that have been attcehd to the person's contact record. The picture with the star next to it is the current profile picture. You will also go to this section if you need to edit or download a picture. This is done by clicking on the actual picture and the file editor will open up.
Membership also uses this section to attach files to a person's contact record.

Audit Log
This seciton shows all of the changes that have been made to a record and who made them. It can be searched by the date of the change or the field that was changed by choosing the correct toggle.
Some "users" to be aware of when you see changes are:
Blackpulp - It was done on the website
SQLNightly - A stored procedure made a change overnight
APIUser - A webtool made the change

Below the Group record you will see a row of tabs that displays other information that is connected to the household:

General

  • Group Name: A short, friendly name describing the Group.
  • Group Type: Defines the purpose of the Group.
  • Ministry: The department or ministry of the church that is responsible for this Group.
  • Congregation: The primary Congregation (site, campus, venue) out of which this Group is based. Most groups will use the **Perimeter Church congregation.
  • Primary Contact: The person who coordinates this Group. This is the individual the church communicates with in regards to the Group. This may be a leader in the Group or someone who is assigned by the church to oversee and support this Group.
  • Description: A friendly description of the Group. Note that HTML is not supported in this field.
  • Start Date: The date the Group formed.
  • End Date: The date the Group dissolved. This field can be left blank if it is an ongoing group.
  • Parent Group: A reporting field that indicates a Group that oversees this Group or the other Groups with which it is associated.

Meeting Details

  • Meeting Day: Select the day of the week the group typically meets.
  • Meeting Time: The time when this Group generally meets.
  • Room: The room location on campus where the group typically meets.

Discipleship Information

  • Journey Group: Indicates if a discipleship group is using the Journey Curriculum or not.
  • Discipleship Group Questionnaire: This is popluated with the discipship questionaire ID after the group leader submits it each year.
  • Discipleship Target Size: This is populated with the number of people desired for this group based on the completed discipleship questionaire.
  • Slots Available: This popluates based on the number of people in the group and the discipleship target size of the group to indicate how many more people can be added to the group.
  • Allow Leaders to Close Group: When marked as yes group leaders can close the groups from their My Perimeter account.
  • Last Member Confirmation Date: This is the date that the group leader last confirmed their group members on My Perimeter.

Small Group Information

  • Offsite Meeting Address: The location that the group is meeting.
  • Parish: Can be populated with the Parish the group is most closely associated with.
  • City Ministry: Populated based on the City Ministry of the Primary Contact.
  • Group Is Full: If Yes, a small group is removed from the Group Finder.
  • Available Online: If Yes, a Group is visible to group members on Perimeter.org.
  • Meets Online: If Yes, a Group will show as "Meets Online" on the Group Finder and Group Details Widgets.
  • Life Stage: A searchable field available to any user to locate groups based on life stage. 
  • Group Focus: A searchable field available to any user to locate groups based on focus or interest.
  • Meeting Frequency: Used by the Attendance Routine to determine how often the group is meeting.

Background Check Information

  • Background Check Required: If marked as yes both the primary contact and the security department will be notified of anyone in the group that needs to complete a background check.

Notifications

  • Send Attendance Notification Will send an email to group leaders who have not recorded attendance.
  • Send Service Notification Will send an email to those who are servants or leaders in a group when the groups is associated with an upcoming event.

Emergency Broadcast System Information

  • Emergency Broadcast System: When marked as yes the current group participants will be notified just like staff when a notice is send through the emergency broadcast system (weather, threat on campus)

My Groups Online

  • Show On MyPerimeter: When marked as yes the group will show when a person logs into My Perimeter and accesses their My Groups page.
  • Show Member Photos Online: When marked as yes the group member's photos will show online.
  • Show Announcments: When marked as yes anouncements can be seen online by group members.
  • Show Recent Activity: When marked as yes recent group activity will be availabe.
  • Show Members: When marked as yes group members will be able to see other group members on their My Perimeter page.
  • Show Files: When marked as yes any files associated with the group will be visible on My Periemter.
  • Show Preferences: When marked as yes group preferences will be visible.
  • Current Group Participants: This is populated based on the current number of participatns in the group.

City Impact Group Leaders

  • Convener: Populates in a City Impact group with all current group participants with the group role of "Convener".
  • Assistant Convener: Populates in a City Impact group with all current group participants with the group role of "Assistant Convener".
  • Community Outreach: Populates in a City Impact group with all current group participants with the group role of "Community Outreach".
  • Welcome Host/Groups: Populates in a City Impact group with all current group participants with the group role of "Welcome Host/Groups".
  • Education: Populates in a City Impact group with all current group participants with the group role of "Education".
  • Men's Discipleship: Populates in a City Impact group with all current group participants with the group role of "Men's Discipleship".
  • Women's Discipleship: Populates in a City Impact group with all current group participants with the group role of "Women's Discipleship".
  • Faith and Work: Populates in a City Impact group with all current group participants with the group role of "Faith and Work".
  • Shepherding: Populates in a City Impact group with all current group participants with the group role of "Shepherding".
  • Shephedess: Populates in a City Impact group with all current group participants with the group role of "Shepherdess".
  • Communications: Populates in a City Impact group with all current group participants with the group role of "Communications".
  • Prayer: Populates in a City Impact group with all current group participants with the group role of "Prayer".
  • Young Families Ministry: Populates in a City Impact group with all current group participants with the group role of "Young Families Ministry".
  • Student Families Ministry: Populates in a City Impact group with all current group participants with the group role of "Student Families Ministry".
  • Members at Large: Populates in a City Impact group with all current group participants with the group role of "Members at Large".

Additional Information

  • Target Size: A reporting field that indicates the maximum or desired number of people for this Group.
  • Available On App: If marked as yes the group will have the option to be in the Perimeter App.
  • Default Meeting Room: The room used for regular Group meetings.
  • SMS Number: The SMS number that this Group can use to send outgoing text messages from GroupLife.
    • Last Attendance Posted: The last date when attendance was posted for the Group. Updated during the nightly.
    • Last Group Member Change: The date when a Group member has been changed, added or end-dated. Updated during the nightly.
  • Show In App: If marked as yes the group will show on the Perimeter App.

Slot Inforation

  • Slots Confirmation Template: Use this field to have a custom message go out to the group member confirming slot selcetion. This message will need to be created as a draft and attached here.
  • Slots Notification Template: Use this field to send a message to the primary contact of group member selections. This field uses drafts for the message.
  • Group Slot Collection: For slots to be availabe the group must be associated with an Group Slot Collection. Use this field to assocate the event with the correct collection.
